Google Apps for Education

Google Apps for Education, GAFE in its shortened version, is a workplace that supports Union County’s vision of anytime, anywhere learning.

GAFE can be looked at as a digital locker of sorts for students and faculty. It is a place to safely keep online communication and collaboration documents as they relate to school - school websites, school documents, school videos, school calendars, school email. You do not need to use it for personal items.

There will be a wide variety of professional development opportunities concerning GAFE throughout the county. Instructional Technology Facilitators will work alongside teachers in every cluster to help implement the great educational apps that Google and its partners have to offer. ITFs have facilitated the Chrome Expo training provided to middle school and high school teachers along with Google PD initiatives taking place in our elementary schools. UCPS is committed to providing teachers with the resources and training they need to make GAFE a success.

    UCSD #1 Suite of Apps

    Students and Faculty within Union County Public Schools have access to a myriad of educational apps conducive to classroom needs. Google Drive provides countless numbers of opportunities for students to create and collaborate on a given task. With equitable access to Google Documents, Google Spreadsheets, Google Forms, Google Presentations and Google Drawings, teachers and students at all grade levels can collaborate and store in the cloud.

    Additionally, Google Sites are available for use in UCSD #1 for educational purposes and in achieving a greater digital audience.

    Teachers and students alike are encouraged to use the Calendar feature within their Google accounts in an effort to keep organized and stay informed of events within their schools.

    Students in grades 6-12 have Gmail Accounts that can be utilized to send email.

    YouTube is available to teachers as a supplemental instructional tool for delivery of educational content. YouTube provides a plethora of educational videos, many of which are offered within the Khan Academy.

    All other applications on UCSD #1 student issued Chromebooks will be downloaded from the Chrome Web Store. Not every Web Store application or extension will be made available to students. An app must meet UCSD #1 curriculum and technology guidelines; students will only be allowed to download approved apps from the Chrome Web Store. A list of these approved apps and extensions can be located within the UCSD Student Apps Locker.

    Teachers can sync their selected Chrome Web Apps with their Chrome Browser by using their UCSD #1 issued login credentials.

    Google Drive

    Google Drive is your storage destination for all of your files. Drive allows you to store your files from your computer and access them anywhere using the Internet. Many file types can be uploaded to Google Drive. Once a file is uploaded to Google Drive, it can then be shared. Microsoft Office products can be uploaded to Google Drive and converted into the desired format within Google Apps. This will simultaneously allow for collaboration and sharing of these documents. Files can be organized in Google Drive using folders; sub folders can be created for further organization.

    My Drive: Everything in your Google Drive on the web that you want to sync to other devices where the Google Drive application is installed.

    Shared with me: Files that others have shared with you.

    Google Photos: Access and manage your photos uploaded to your Google account.

    Recent: Everything you've recently viewed or worked on in the order it was last updated.

    Starred: Files and folders that you'd like to find quickly .

    Trash: Location of all deleted Drive items. You must manually empty the trash in order to permanently remove items from your Google Drive account


    UPLOADING AND CONVERTING TO GOOGLE DRIVE

    You can easily manipulate upload settings in Google Drive to convert files from their original format into the Google Apps format. Managing your upload settings is easy and we encourage you to convert your materials because items in Google Apps format do not take up any of the drive space allotted to you!

    Utilizing the Chrome Browser

    The versatility of the Chrome Web Browser allows users to access their bookmarked sites and downloaded apps anywhere, anytime by simply signing into the browser itself. A user can easily bookmark a frequently visited site! Simply direct the browser to the desired site and click the transparent star shape in the upper right hand corner of the address bar. The star will then fill with a yellow color and ask you to name your bookmark and where to store the bookmark. When finished click done and your bookmark is saved!Downloaded apps, frequently visited sites, recently closed destinations and the Chrome Web Store can easily be reached when you open a new tab within the Chrome browser. This allows for efficient and practical navigation within browser tabs.

    UCSD #1 Student Google Apps for Education (GAFE) Accounts are deleted after graduation. All GAFE items including email, drive content, and sites will be deleted. This tutorial will provide instructions for transferring Google materials created and saved using GAFE, in order for students to keep items that have been created.

    Maintaining Access Sites

    To maintain after-graduation access to the Google Sites you created as a Uinta County School District #1 student, you must transfer ownership of those sites to yourself at a private Gmail account. Google Apps will not allow you to share ownership of the site with a non-Google email account.

    Set Up a Free Gmail Account

    If you don't have a free Gmail (Google) email account, go to the Gmail home page, click on "Create an account," and follow the instructions to create a new personal email account. Once you have a valid Gmail account, you may use this address to change ownership of your current UCPS Google Sites and other Google tools. Once you have confirmed this email account, log out of your new personal Gmail account.

    1. Log in to your UCSD #1 Google Site. Click on the "Share" button at the top of the page.2. In the Sharing Settings dialog box, add your new personal Gmail address in the "Add people" box. Choose "Is owner" from the drop-down menu to the right. Be sure to uncheck the option to send email notifications. Click the Share button and close. 3. Log out of your UCPS account, and login to your personal Gmail account. Once you have done this navigate to your google site. This will take you to a webpage that lists all of the sites within the Uinta County School District domain that are shared with your personal account.
